Printing Tips
Printing an Article Found in an Online Database
Each database has a print function (an icon or text) within its
interface that reformats the text of the article to reduce the
number of printed pages. This saves time and money. Printing
from within the database will prevent big gaps of space on the
left hand side of the articles, and will stop your text from
disappearing off the right hand side. To properly print from
a database:
- Click on the print icon or button that is within the database (under the URL line)
- You will be prompted from there to go to the main print function
- Print as usual

Converting to RTF
If you have WordPerfect on your desktop or laptop at home, you will likely have to convert it to an RTF (Rich Text Format) file so that other computers can read the document. Think of RTF (Rich Text Format) as a universal word processor language. Most any platform of computer (Mac and PC) and word processor (Corel WordPerfect, Microsoft Word, Microsoft Works) have the ability to read this format. Saving an assignment in RTF format ensures that your instructor will be able to read the submitted file.
The following example showing you how to save in RTF is given using
a Windows operating system. Even if a Windows operating system is
not being used, read through the example anyway, as it will give hints as
to how to save files in RTF within any computer system.
- Open the word processing program
- Type the assignment
- When the file is ready to be saved, select "File" from the menu bar at the top of the word processor screen.
- Now select "Save As"
- A screen that looks similar to Figure 1.1 will display.
- In the File name text box type the desired name of the assignment.
- When naming and saving a file, use all LOWERCASE letters without any symbol characters (i.e. - @#$ or %).
- For example, project1.rtf is an acceptable filename, while Project #1.RTF is not.
- An error message will display when attempting to upload a file that doesn't conform to these conventions.
- Before selecting the Save button, be sure that the file is being saved into the correct folder or directory.
- Click the Save button.
NOTE: It is a good idea to save a file that is being created every 10 minutes. To re-save an already saved file, simply select the Save icon from the menu bar of the word processing program or select "File - Save" in the program. |
Printing PowerPoint Presentations
- Open the PowerPoint presentation you want to print.
- Click on file/print.
- On the left side of the screen, toward the bottom, will be a box that
asks "print what."
- Choose handouts.
- To the right of "print what" will be a "handouts" box. It will be grayed out until you choose handouts. Once you choose handouts you can choose the number of slides you want printed per page (4-6 works well).
- Click "ok" to print.
- Click on File/Save As and choose desktop.
- If you are opening the PowerPoint from a web source you
will need to save the presentation to the desktop before you can
print. Then open the presentation from the link you saved to the
desktop.

Printing Web pages
What if only the words print and not the pictures,
graphs or charts? What should I do if the only thing that will
print is the Web site address and date stamp? Why is the background
the only thing that will print? In all of these cases, it usually
is due to layers on the Web page. If you wish to print everything
on the page:
- Go to Edit
- Click on Select All
- Then go to File
- Click on Print
- Choose Selection
On the flip side of the situation, let's say that all you want to print is a picture, graph or chart. Select the object by holding down the left mouse button over the object, then:
- Go to File
- Click on Print
- Choose Selection
If you find that your document is being "cut off" on the edges, then you will
probably need to change the paper orientation from "portrait" to "landscape" or
change the page margins. Simply
set the printer to print that document by:
- Go to File
- Click on Page Setup
- Select Landscape or
- Margin Settings

Failure to Print Successfully
If your print job doesn't print, or an error message comes up for the print job:
- Go to File
- Click on Print
- In the box entitled Name, select the correct printer from the drop down menu (\\gaffney 1\Library Public BW)
